Station User Guide

Users of the Polycom VVX 300 and 400 series telephones use the following as a guide to using the telephone.

Placing Calls

Place an outside call

  • Lift handset or press the  , or the .
  • Dial the local or long distance number as 10 digits.

Place a call to other system users

  • Lift handset and dial desired ext. number.

Transfer a call

Two forms of call transfer to be considered:

Blind Transfer*

Blind transfer is transferring to another user without any warning or explanation of the transferred call.

  • During an active call.
  • Press Transfer.
  • Dial the internal or external number you wish to transfer the caller to and hang-up.

Consultative Transfer*

Consultative Transfer enables you complete the transfer after you explain that a call is being transferred.

  • During an active call.
  • Press "Transfer".
  • Dial the internal or external number you wish to transfer the caller.
  • When called party answers explain you are transferring a call.
  • Press Transfer.
  • Hang up.

If the caller wishes to not accept the call or their voicemail answers press cancel and you will return to the original caller.

*The telephone defaults to "Blind Transfer" type. If the user would like to have "Consultative Transfer" as the default the following steps should be selected for those users:

  • Press the "Home" button.
  • Use the navigation cluster to highlight "Settings."
  • select "Basic."
  • select preferences
  • scroll down to default transfer type
  • press select
  • navigate to the desired transfer type
  • press select
  • press back
  • continue pressing back until you are at the home screen once again.

Call Forwarding

  • Press Forward.
  • Select line to be forwarded.
  • Select forwarding type.
  • Enter internal or external number and press enable.
  • Hang up.

Group call pick-up

Users that are included in a Group Call Pick-up may answer a call ringing at another Group members telephone.

  • While the other group members phone is ringing, lift your telephone handset and dial *8.

Conference Calling

The telephone is capable of providing a three-way conference call consisting of internal or external parties.

Larger conference bridges are available.  Please contact Vartel for additional information on larger conference bridges.

To create a three-party conference:

  • Lift handset.
  • Place 1st call.
  • Press More softkey.
  • Press Confrnc button.
  • Place 2nd call and wait for party to answer.
  • Press More softkey.
  • Press Confrnc button.
    All three participants can hear each other.

Voice Mail

Recording voice mail greeting

  • Lift handset.
  • Press the Message key or dial *95.
  • Enter password when prompted (See your administrator for your temporary password).
  • Press 5.
  • Press 1 to record a greeting and follow prompts.
  • Press 2 to choose a greeting and follow prompts.
  • Press 3 for recorded name and follow prompts.
  • Place handset in cradle when done.

Change voice mail password

  • Lift handset.
  • Dial *95.
  • Enter password when prompted.
  • Press 5.
  • Press 6.
  • Follow prompts.
  • Place handset in cradle when done.

Check voice mail messages

  • Lift handset.
  • Press Message key or Dial *95.
  • Enter password when prompted.

Paging

Zone Paging is a pre-defined feature.  All telephones that are included in a page zone can send and receive paging messages based on the zone that the station is included. Your system administraor will provide specific information about the zone your telephone included.

To Page

  • Press the Paging button, then select the desired zone and press Page.
  • After you hear the confirmation beep, begin speaking your message.
  • Press End Page when finished paging.

Call Park

  • During an active call press transfer.
  • Enter the Park location *51 -*59.
  • To retrieve the parked call lift handset and dial the park location of the desired parked call.
